Subscription billing tiers (Karven's own)
How Karven bills you. Upgrading, downgrading, how the free week works, and the trial mechanics.

How billing works
Karven charges your card monthly (or annually, if you switch, see below). The charge happens on the same day each month as the day you first subscribed. You get a receipt by email and one inside the app under Settings → Billing.
If a charge fails, Karven retries on day 1, day 3, and day 7. After three failed retries, the account loses its plan and can no longer send new quotes until you fix billing. Your data is preserved.
Annual vs monthly
Annual is 20% cheaper than 12× monthly. You pay the year upfront; if you cancel mid-year, you get a pro-rata refund of the unused months.
For most tradies, annual is the right choice once you've decided Karven's worth keeping. For new users we recommend three months of monthly to make sure the fit's right, then switch.
Quotes during your free week
Your 7-day trial has no quote cap. Send as many as you like while you try Karven out. There is no monthly counter to watch and nothing resets. Once the week is up you pick a plan to keep sending quotes, and everything you made during the trial stays put.
Upgrading
Hit Settings → Billing → Upgrade. Pick the new plan. The change is immediate, features become available the moment the upgrade processes. The current period is pro-rated; you're charged the difference for the rest of the month.
Downgrading
You can downgrade at any time. The downgrade takes effect at the end of your current billing period, not immediately. Until then, you keep the higher-tier features.
If you downgrade from a tier that gave you features you've been using (e.g. you go from Business to Starter and had multi-seat enabled), Karven asks what to do with the now-unsupported feature. Extra seats become read-only; Xero sync pauses; etc. No data is deleted.
Cancelling
Settings → Billing → Cancel. The cancellation takes effect at the end of the current period. You keep access until then, after which the account can no longer send new quotes. Your data is preserved forever, so you can resubscribe anytime and pick up where you left off.
If you want your data deleted entirely (right-to-erasure), that's a separate flow: Settings → Account → Delete account. This is irreversible and removes everything within 30 days.
Trial mechanics
New accounts get a 7-day free trial automatically. No card required to start. During the week you can send as many quotes as you like. After day 7 you pick a plan to keep sending quotes.
Karven doesn't auto-charge at trial end. You have to explicitly pick a plan. We deliberately don't do silent conversions, so you choose us rather than getting defaulted into us.
If you add a card during the trial, the card is on file but isn't charged until you pick a plan.
Tax invoices for billing
Every Karven charge generates a tax invoice from Tradeforge Pty Ltd to you, with our ABN, the GST breakdown, and the line items. You can download all your tax invoices from Settings → Billing → Invoices at any time, including after cancellation.
For accounting:
- Karven's subscription cost is a business expense, deductible.
- The GST you paid us is claimable as an input tax credit on your BAS.
- If you bought an annual subscription, you can either claim the full amount in the period it was paid (cash basis) or spread it across the year (accruals basis). Match your method to your overall BAS basis.
Multi-entity billing
If you operate multiple businesses each with their own Karven account, each is billed separately. We don't bundle.
If you want a single invoice for multiple workspaces (e.g. for a head office that pays for branch offices), email support@karven.com.au, we'll set up consolidated invoicing on request.
Pausing
We don't currently offer paid pauses. If you've got a seasonal business and want to drop to Free in the off-season, you can do that, features lock but data's safe. When you start the next season, upgrade back; you keep your history.
A common gotcha
Don't let your card expire if you're on a paid plan. The retry/drop mechanic above kicks in and you'll lose tier features at an inconvenient moment. Karven warns you 30, 14, and 7 days before card expiry, keep an eye on those emails.
