When a customer calls the next summer to add a second unit, the breakdown shows what you allowed for the unit, the pipe run and the circuit, so the new price is consistent.
It is on the quote page as Your private breakdown (PDF), and it never appears in the customer's link, PDF or email.
What a good air conditioning quote needs
- Brand, model and capacity in kW for each unit, and which room it's for.
- The install: back-to-back or not, extra pipe in metres, wall bracket or roof stand.
- The electrical side: a dedicated circuit from the board and an isolator, and who does it.
- Condensate drainage, and a pump if gravity won't do it.
- Removing the old unit and recovering the gas.
- The maker's warranty on the unit and your own warranty on the install.

On every air conditioning quote
- Licence
- Include on the quote: ARC refrigerant handling licence number (and electrical licence if you wire it).
- Anyone installing, servicing or decommissioning split or ducted systems needs a refrigerant handling licence from the Australian Refrigeration Council. Wiring the circuit is electrical work, so it needs a licensed electrician.
- Compliance
- The new circuit and isolator need the electrical certificate for your state, such as a CCEW in NSW or a Certificate of Electrical Safety in Victoria.
- Put the ARC licence number on the quote. Customers who have read about poor installations look for it.
- GST
- If you are registered for GST, Karven adds 10% once and shows one total inc GST. If you are not registered, there is no GST line. More in GST on quotes.
- Deposit
- You order the unit as soon as they say yes, so take a deposit. Set your % once and it's on every quote; card deposits come through Stripe, or your bank and PayID details show after they accept.
- Example: the sample job above is $2,844.60 inc GST, so the 10% deposit is $284.46.
- Variations
- Wall's hollow where you wanted the bracket, or the pipe run is twice what they said on the phone? Add a variation on the accepted quote with the price, and they sign it on the link before you start drilling.

How air conditioning installers usually price a job
- Split systems are usually supply and install for a standard back-to-back job, with extra pipe priced per metre.
- Install-only, where the customer bought the unit online, is a fixed labour price. Say what happens if the unit turns up damaged.
- Ducted systems get a site visit first, because duct runs and zones vary too much to price from a phone call.
- Services and repairs are a call-out plus parts and time, with a re-gas priced on its own.

How do I give the customer a choice of unit sizes?
Put each size on its own line as a pick-one choice. The customer picks on their phone and the total updates. Karven's air con items have 2.5kW to 8kW splits with a starting cost.
What does a back-to-back install cover?
The indoor and outdoor units on the same wall with a short pipe run. Anything longer, higher or harder to reach goes on its own line, so the customer sees why the price changed.
Should the electrical circuit be on an air con quote?
Yes, if the unit needs one. List the dedicated circuit as its own line and say who does it. It's the most common surprise for customers.
Can I quote install-only when the customer bought the unit?
Yes. There's an install-only section with back-to-back labour, extra pipe and brackets. Note that the unit's warranty is between them and the seller.
Can I see how I priced an air conditioning quote months later?
