When an owner asks a year later about painting the last two bedrooms, the breakdown shows the paint, preparation and hours per room you allowed last time.

What a good painting quote needs

  • What's being painted, room by room or surface by surface, in square metres.
  • Coats, brand and sheen: low sheen walls, flat ceilings, semi-gloss trim.
  • Prep: filling, sanding, sugar soap, and anything past normal patching.
  • Doors, windows, skirting and architraves on their own lines.
  • Who moves the furniture, and how floors and gardens get covered.
  • For exteriors: access, heights and whether scaffold is needed.

On every painting quote

Licence
Include on the quote: Contractor licence number (where your state requires one).
Whether you need a licence depends on your state and what the job is worth. In NSW you need a contractor licence and a written contract for residential building work over $5,000 inc GST. In Queensland a QBCC licence is needed for building work valued over $3,300. Other states set their own rules, so check your regulator before you quote.
Compliance
Houses built before the 1970s can have lead paint. Say how you'll test for it and handle it before you sand.
Deposits on home building work are capped by state law: 10% in NSW; in Victoria 10% under $20,000 and 5% at $20,000 or more; and in WA builders can't ask for more than 6.5% on contracts from $7,500 to $500,000.
GST
If you are registered for GST, Karven adds 10% once and shows one total inc GST. If you are not registered, there is no GST line. More in GST on quotes.
Deposit
A deposit holds your dates and covers the paint. Set your % once (within your state's cap for home building work) and the customer pays by card when they accept, or with your bank and PayID details.
Example: the sample job above is $4,505.16 inc GST, so the 10% deposit is $450.52.
Variations
Strip the old wallpaper and the plaster comes with it? Add a variation on the accepted quote with the patching and the price, and the customer signs it on the link before you open a tin.

How painters usually price a job

  • Walls and ceilings go per square metre for two coats.
  • Doors and windows are priced each, trim per lineal metre.
  • Prep is the big unknown. Price it on its own so a clean house and a rough one aren't the same.
  • Some painters quote per room for repaints, which is easier for customers to compare.

  • How do I price painting per square metre?

    Set a rate per square metre for two coats on walls and another for ceilings, then add doors, windows and trim separately. Prep goes on its own line.

  • Should paint be a separate line?

    Some painters build paint into the square metre rate; others list it by the litre so the customer sees the brand. Either works. Say which on the quote.

  • How do I quote a colour change?

    Put same colour and new colour on as a pick-one choice. The new colour carries the extra coat, and the customer picks knowing what it costs.

  • How do I quote an exterior with tricky access?

    Add a line for access equipment or scaffold. Exteriors vary more than interiors, so a site visit first is common.

  • Can I see how I priced a painting quote months later?
