Needs you: follow-ups that prompt you

The list on Today of quotes that need a reminder, a reply or a booking, the status line on every quote, and the Ask me first vs Send automatically choice.

Updated 2026-10-25

Most jobs are lost in the quiet bit after the quote goes out. Karven watches every sent quote and tells you when one needs you, so you're not trying to remember who you sent what to.

The Needs you list

At the top of Today, Needs you shows one card per thing to do:

  • Question. The customer asked something about their quote. Reply, or mark it as no answer needed.
  • Unopened. Sent a while ago and not opened yet. Tap Send to check it landed, or Skip.
  • Waiting on customer. No answer after 3 days (and again after 7). Karven has written the reminder for you. Tap Send, or Skip.
  • Accepted, not scheduled. They said yes and there's no job booked yet. Tap through to book it in.
  • Accepted, deposit due. They said yes and the deposit isn't in yet. Send reminder opens a message you can read and change before it goes (one a day), or use the ⋯ menu to mark it paid.

Every deposit still owed, however long ago they accepted, is also on Money under Deposits to come, with the same amounts and the same buttons.

When there's nothing to do, the list says so.

A quote with an open customer question only shows the question card. Karven won't remind you to chase someone who's waiting on an answer from you. Quotes on hold never show a reminder.

The status line on each quote

Every quote page has a one-line status under the header, so you can see where it's at without digging:

  • Sent 2d ago · 3 opens · last opened 2h ago · 1 question
  • Unopened (in amber once it's been a while)
  • Live now (they're looking at it right now)
  • Accepted, with the total and what they chose

Ask me first or Send automatically

In Auto messages in the menu there's one switch for your reminders, thank-yous and invoice reminders:

Ask me first (the default for every account). Karven writes each message (the reminders at 3 and 7 days, the thank-you when they accept, the rest) and puts it in Needs you, and under Waiting for your OK on Auto messages. You tap Send, or Skip. Answers to a call or text and the job certificate still go straight away. Skipping the 3-day reminder doesn't cancel the 7-day one.

Send automatically. Karven sends each switched-on message by itself, inside your quiet hours (9am to 6pm by default). You can still see where each quote is up to on Today.

The days are yours to change on each message's card. Today, the "To follow up" list on your Quotes page and each quote page all use the same days. Tap Change this message on a Needs you card to change its wording.

Which one to use

Start on Ask me first. You see every message before it goes, and it only takes a tap. Once you trust the wording and the timing, switch to Send automatically if you want.
